Australian Theatre for Young People (ATYP) is the national youth theatre company. We exist to connect young people with the professional theatre industry locally, regionally and nationally. It’s the principle on which the company was founded in 1963. It’s what drives us today.

Australian Theatre for Young People specialises in integrating professional theatre practice with supportive youth theatre process. We love working with all levels of the arts industry, from the most celebrated national companies to the smallest youth theatres. Our work supports young people from their first theatre experience to their first professional production.

WORKSHOP & ADMINISTRATION COORDINATOR

ATYP has a hybrid work structure, where our team works from the office and remotely, based on the demands of specific tasks, the work practices of your team, and to provide flexibility to deal with those unexpected, but important, things that occur in your life outside of work. Working from the office is expected when you are undertaking tasks requiring formal or informal collaboration or public interactions. ATYP’s usual office hours are Monday to Friday from 9.30 am to 5.30 pm, but at times you may be required to work on evenings and weekends because of the nature of ATYP’s services and activities.

POSITION SUMMARY

As a key member of our Workshops team, the Workshop & Administration Coordinator:

  • supports the other members of the Workshops team by scheduling, undertaking, and reporting on, day-to-day administration tasks
  • provides general project support across Workshops programs, as determined by the Workshops Manager
  • provides office reception services (including welcoming guests to ATYP, maintaining the condition of reception and staff amenity areas to the required standard, monitoring the performance of office cleaning contractor staff, answering calls made to ATYP’s office phone number, managing responses to emails sent to ATYP’s office email address, and responding to enquiries submitted through ATYP’s website),
  • provides administrative support for other business operations (including external venue hires, information on the annual program, upcoming events, programmed activities managed outside the Workshops program, managing bookings, and general administration tasks, and
  • supports the coordination of ATYP’s Youth Advisory Board (YABbies).

The Workshop & Administration Coordinator reports to and is supervised by the Workshop Manager. In addition, the Coordinator may report to the Executive Director, particularly about office reception and administrative support outside the Workshop team.

About You:

As General Manager, you will report to ATYP’s Artistic Director/CEO. You will have at least five years experience in a similar role and be proficient with financial reporting including a well-rounded understanding of managing a P/L and associated cash flow management, as well as providing leadership and support on all people and culture matters.

You must have outstanding organisational and planning ability, leadership, communication and negotiation skills, and experience in working in a hands-on capacity with a small staff to create a thriving work environment.

The General Manager serves as the Company Secretary and is required to establish and maintain good communication and effective working relationships with the ATYP Artistic Director/CEO, Board, ATYP Foundation Committee Members and staff.

You will also be required to maintain effective working relationships with:

o Government at all levels – Federal, State and Local

o Contractors and suppliers

o The Australian theatre industry including venues, companies, industry lobby and the youth theatre sector

o Partnering organisations

o Venue Hirers

o Young people involved in ATYP programs

More about the role:

Business & Finance

  • Actively participate as a member of the executive team in the development and implementation of strategic plans and company policies.
  • Assume day-to-day financial and operational control of the company, in consultation with the Artistic Director/CEO, and monitor all aspects of the company’s activities.
  • In partnership with the Artistic Director/CEO oversee the annual review and delivery of the 2024 – 2028 Business Plan.
  • Provide sound financial management including overseeing the preparation and management of the detailed annual operational and project budget to support the business plan and annual program of activities.
  • Chair staff meetings and minute Board meetings as Company Secretary. Manage the administration of the ATYP Foundation Committee meetings including providing agendas and reports.

Govt Relations

  • In conjunction with the Artistic Director/CEO, establish and maintain relationships with local, state and federal government departments including but not limited to Ministers, advisors and staff across portfolios to advance the profile of ATYP
  • In conjunction with the Artistic Director/CEO, support the preparation and acquittal of grant applications and ensure compliance as it relates to budgets, contracts and company policy.
  • Work with the Artistic Director/CEO and ATYP Board to broaden ATYP government funding across departments with a focus on initiatives outside of the Arts portfolio

HR

  • In consultation with the executive team, develop and maintain ATYP company policies and ensure their ongoing implementation
  • Ensure contracts and employment processes for permanent, part time and casual staff are compliant with government legislation and reflect industry best practice
  • In collaboration with the Artistic Director/CEO appoint and manage ATYP staff including conducting annual performance and salary reviews, convening regular staff meetings and maintaining a positive company culture

Operations & Venue Hire

  • In collaboration with Operations Manager attend meetings with Government, Tenants, and stakeholders relevant to the Walsh Bay Arts Precinct.
  • Oversee ATYP calendar of activities + Venue Hire with a focus on commercial hires, while ensuring access for artists and ATYP community

OPERATIONS MANAGER

REPORTS TO:                   Executive Director – Management

TERM:                                 Full time with a six-month probation period.

REMUNERATION:              Salary – : $80,000 plus superannuation.

OBJECTIVES:

  • Manage the technical production of ATYP’s activities including productions, special events and independent hires.
  • Oversee and schedule the maintenance of ATYP facilities and equipment at Pier 2/3 on The Wharf and the store in Lilyfield.
  • Oversee Venue Hire and ensure it achieves annual financial targets.

KEY INTERNAL RELATIONSHIPS:

The Operations Manager is required to establish and maintain good communication and effective working relationships with ATYP staff, Board and management.

Responsible for managing the Event and Venue Hire Coordinator and casual and contract Production & Technical Staff.

KEY EXTERNAL RELATIONSHIPS:

  • The Operations Manager is required to maintain effective working relationships with:
  • Young people involved in ATYP programs
  • Contracted staff and volunteers
  • Contracted Creatives on Productions
  • Production suppliers
  • Venue Hirers
  • The Walsh Bay Arts Precinct Management team
  • Colliers (both on the Pier and at the Lilyfield Store)
  • Other Production and Services staff in Pier 2/3, such as those employed by Bell Shakespeare and ACO, and by venue hire clients

SELECTION CRITERIA

Essential:

  • Strong production management, time management and budgeting skills.
  • Minimum 5 years experience in the technical operations of the performing arts and knowledge of set design, construction, rigging, stage automaton, lighting, sound, visual and digital streaming requirements, theatrical costumes and props.
  • Knowledge of and a commitment to WHS procedures within the entertainment industry.
  • Excellent oral, written and interpersonal skills including the ability to communicate with people of all ages.
  • Strong computing knowledge, including experience in the use of electronic design and lighting programs.
  • Leadership skills for overseeing, training and developing a small team.
  • Ability to analyse and problem solve in the context of change and continuous improvement.
  • Capacity to work evenings and weekends where required.
  • Have a valid NSW Working With Children Check for paid and volunteer work, or willingness to apply.
  • A current drivers licence.

Desirable:

  • Experience in Venue Management
  • Current First Aid certificate

ABOUT THE ROLE

Position Title: Workshop Manager

Reporting to: Artistic Director

Reports: Workshop and Administration Assistant, Teaching Artists, Assistant Teaching Artists

Term: Full time

Salary: $79,000 (plus superannuation)

Major Duties

  1. Workshop Development and Implementation
  • Plan and implement a sustainable holiday, weekly, 18+, regional and specialised workshop programs.
  • Ensure the administrative aspects of all workshop programs are delivered in a professional manner and in accordance with ATYP’s company culture.
  • Monitor the suitability of program content, including scheduling meetings with teaching artists and assistants for debriefing, skill sharing, inductions and other meetings as necessary.
  • Manage the program to meet company objectives and ensure that ATYP staff is well briefed about workshop planning and programs.
  • Manage the Workshop Program budget in consultation with the General Manager to ensure expenditure is contained within predetermined budgets and income targets are met.
  • Facilitate workshops as required.
  • Write and provide course outlines to teaching artists and assistant teaching artists for weekly workshops and other programs as required.
  1. Research and Development
  • Research, develop and implement strategies for enhancing workshops, including monitoring the industry to ensure we are leading best practice.
  • Develop and devise workshops in line with the specific needs of partners.
  • Investigate and develop strategies that promote ATYP as a national resource for organisations seeking tailored theatre workshop experiences.
  1. Publicity and Marketing
  • With the Marketing Team, ensure promotion of the Workshop programs including generating publicity copy for the ATYP website, social media, EDMs and media.
  • Attend and coordinate workshop events including open days, workshop performances, presentations, forums and showings.
  • Attend and participate in publicity events and generally act as an ambassador for ATYP.
  1. Funding and Support
  • Assist the General Manager and Artistic Director to identify and develop strategic partnerships, funding opportunities and potential sponsorships.
  • Assist with, attend and participate in targeted fundraising events.
  1. Documentation and Evaluation
  • Organise the evaluation of workshop programs in association with the Workshop and Administration Assistant and develop mechanisms to effectively collect quantitative and qualitative feedback from participants, audiences and key partners.
  1. WH&S
  • Ensure the implementation of WH&S policies in consultation with the General Manager and Venue operations Manager.
  1. Other Responsibilities
  • Attend staff meetings and other meetings as requested.
  • Ensure best practice procedures are followed regarding working with children.
  • Other duties as assigned by the Artistic Director/CEO

SPECIAL REQUIREMENTS

  • Due to the nature of the position, the Workshop Manager is required to work primarily in the office, and after-hours and weekend work is required.

The Digital Communications and Engagement (DCE) Coordinator is a key team member in ATYP’s busy Marketing department.

You will have an interest in young people and their positive interaction with the arts, have an open, collaborative and can-do work ethic, and an understanding of multi-faceted marketing mix and distribution channels.

Skills & Experience

  • Excellent writing skills, including proofreading and copywriting. We’re looking for a versatile writer who can create content across our various channels to multiple audiences
  • Exceptional attention to detail
  • A passion for and experience in social media and digital marketing
  • Experience in developing, implementing and coordinating campaigns, including paid search and social media advertising
  • A creative thinker who understands and can create quality short-form video content for Instagram and TikTok
  • Experience in WordPress or similar CMS (essential), photo editing skills (Adobe CC desirable), Video iMovie or Final Cut Pro skills (desirable) and Mailchimp
  • Understanding of print and outdoor advertising
  • The ability to multi-task and manage competing deadlines in a fast-paced environment.

Direct reports: Marketing and Communications Manager
Indirect reports: Digital Communication and Engagement Coordinator; Digital Engagement Designer.

Objectives

  • The Senior Marketing Strategist is responsible for leading the marketing team in strategy development and delivery against the communication and fundraising goals detailed in the current Business Plan.
  • Consolidate ATYP’s brand as the flagship Australian theatre company that specialises in engaging young people.

Key Internal Relationships

  • The Senior Marketing Strategist is required to establish and maintain good communication and effective working relationships with the Artistic Director/CEO, Executive Director – Strategy, Executive Director – Management, departmental managers and Board of Directors.

Key External Relationships

  • The Senior Marketing Strategist is required to maintain effective working relationships with:
    • Key marketing suppliers and partners including publicity and advertising agencies, web developers, designers and the media.
    • Young people involved in ATYP programs.

1. MAJOR DUTIES

  • Review and evolve the ATYP brand to clarify and refine audience segments across
    • Productions;
    • Workshops;
    • Advocacy;
    • Fundraising; and
    • Education
  • Clarify and refine the ATYP “voice” to unify company communications and reflect the company culture;
  • Oversee the Marketing and Communications Manager to execute multi-channel campaigns, ensuring the alignment of messaging, brand and customer needs in all channels.
  • Oversee the Marketing and Communications Manager in the development of marketing collateral including writing, coordinating printing and briefing designers.
  • Lead the scoping and delivery of a CRM project to consolidate customer data across the organisation.
  • Mentor and support the Marketing and Communications Manager in the development of skills in strategic planning and implementation related to marketing and communication campaigns.

2. Other Responsibilities

  • Attend staff meetings and other meetings as requested.
  • Attend and participate in publicity events and generally act as an ambassador for ATYP.
